Accounts and access

Access your student accounts

Your Regent College London IT account gives you secure access to all your key digital services, including your email, learning platforms, and cloud storage.

This page explains how to activate and manage your account, reset your password, and keep your information secure using Multi-Factor Authentication (MFA).
You’ll also learn how to safely store and share files using OneDrive and other approved systems.

Keep your login details private and never share your password with anyone.

Activate or reset your RCL IT account

You’ll receive your login details when you enrol. Your username and password give you access to all RCL systems, including Microsoft 365 and Canvas.

How to activate your account:

  • Follow the activation instructions in the email you receive.
  • Enter your student ID and date of birth.
  • Create a new password that meets the security requirements.
  • Log in to confirm your activation.

Forgotten your password?

If you’ve forgotten your password, use the Self-Service Password Reset tool:

You’ll need access to your registered phone or alternate email address for verification.

Password best practices:

  • Use a strong password that includes at least eight characters, numbers, and symbols.
  • Never reuse your RCL password for personal accounts.
  • Change your password every 90 days to keep your account secure.

Accessing key systems and software

Your Regent College London account gives you single sign-on access to the most important systems you’ll use throughout your studies.

With one login, you can access:

  • Regent Digital and Canvas: For course materials, assignments, and announcements.
  • Microsoft Outlook email (Office 365): For official communication and updates.
  • Microsoft 365: including Word, Excel, PowerPoint, and Teams.
  • RCL digital library: To search journals, books, and databases.

Trouble logging in?

Check your internet connection, ensure your password is current, and make sure you’re using your full RCL email address as your username.

Data storage and security

All students receive 1TB of cloud storage through Microsoft OneDrive. Use this to store and share coursework, notes, and projects securely. Files saved to OneDrive are backed up automatically and can be accessed from any device.

Saving your work safely

  • Always save files to OneDrive rather than your local hard drive or USB stick.
  • Use folders to organise your coursework and documents.
  • Share files with tutors or classmates by sending secure OneDrive links.
  • Avoid emailing files to yourself – OneDrive is safer and more reliable.

Multi-Factor Authentication (MFA)

MFA adds an extra layer of security when you log in. It helps protect your data even if someone else knows your password.

How to set up MFA:

  • Download the Microsoft Authenticator App on your phone.
  • Follow the MFA setup prompt the first time you log in to your RCL account.
  • Each time you sign in on a new device, you’ll confirm your identity through the app or a verification code.

Security tips

  • Don’t approve login notifications you didn’t initiate.
  • Lock your device when unattended.
  • Report any suspicious account activity immediately to IT Support.

Set up multi-factor authentication as soon as your RCL account prompts you to.
