Student activity monitoring

Actively participating in your studies is essential to your success at Regent College London (RCL). This page explains what we expect from you, how your activity is monitored, and what support is available to help you stay on track.

Academic activity requirements

Academic activity means taking part in all the learning activities required for your programme. This includes scheduled sessions delivered in person or online, such as:

  • Lectures, seminars and tutorials
  • Group work and workshops
  • Meetings with your Personal Academic Tutor
  • Academic skills sessions and other scheduled support activities

You are expected to take part in all scheduled activities and engage consistently throughout your programme. The Student Activity Monitoring Policy outlines your responsibilities for engaging with your learning activities and how the College supports you if your activity level falls below expectations.

What is expected of you

To stay on track with your studies, you are expected to:

  • Attend and participate in all scheduled sessions
  • Arrive on time and stay for the full session
  • Be prepared and ready to engage in learning activities
  • Check your emails regularly and respond to College communications
  • Let your Personal Academic Tutor know as early as possible if something is affecting your ability to participate

Regular participation is essential. If your activity level falls below expected levels (typically below 80%), this may trigger additional monitoring and support.

Reporting an absence

If you are unable to attend a scheduled session, you should report your absence using the Absence Form within five working days. Your absence form will be reviewed in line with College guidance, and you may be asked to provide further information or evidence where appropriate.

If you need to take a longer or repeated absence, you should contact your Personal Academic Tutor to discuss your situation and agree the next steps.

Valid reasons for absence

Absences must normally relate to illness, unexpected personal circumstances, or serious events. Routine work, holidays, or travel arrangements are generally not accepted as valid grounds for absence.

Participation expectations

Participating in your studies means being actively involved in your learning, not just being present.

You’re expected to:

  • Engage fully in teaching sessions and learning activities
  • Contribute to discussions and group work
  • Be respectful of others and the learning environment
  • Use devices appropriately and only for learning purposes

Campus classes expectations

  • Check in via the SEAtS app to record your attendance
  • Participate in activities and discussions
  • Follow classroom expectations set by your tutor

Online classes expectations

  • Join on time so your attendance can be recorded
  • Use your camera and display your preferred first name
  • Join from a suitable environment where you can focus
  • Stay engaged and respond to tutor prompts

Monitoring and support

We use activity monitoring to support your progress and identify where support may be needed. If your activity level is below expectations, we follow a staged monitoring process.

We will first contact you informally to discuss your absences and understand any challenges you may be facing. If your activity level does not improve, you may be progressed to Stage 1 of the formal activity monitoring process.

You will receive an Absence Concern Email if you miss four sessions (either consecutively or cumulatively) and have not notified us using an Absence Form.

This email offers support to help you improve your academic activity level and explains the possible consequences if concerns continue.

If you miss a further four sessions following Stage 1, you will be invited to attend an Absence Concern Meeting, typically with your Personal Academic Tutor.

We will discuss the reasons for your absence and agree on an Attendance and Engagement Plan.

If you do not attend the meeting without a valid reason, the meeting may go ahead in your absence and the case will move to Stage 3.

If you miss a further four sessions or your activity level falls below 80%, you will be invited to a Final Absence Concern Meeting with an Attendance Officer.

If you cannot demonstrate acceptable improvement, you may receive a Notification of Intention to Withdraw.

If you do not respond to the notification within 5 working days, you will be withdrawn from your programme.

Withdrawal, review and appeal

If your activity level does not meet the required standard and you do not respond to College support, you may be withdrawn from your programme. Withdrawal may affect your student funding and, where applicable, your visa status.

If this happens, you’ll be informed of the decision and the reasons. You will have the opportunity to request a review, and may be able to appeal the decision in line with College procedures.
